Privacy policy

This policy explains what personal information Natalua Melnik CPA, PLLC collects through this website, why we collect it, and what we do to keep it safe. It covers the website only. Information you give us as a client during tax preparation is also protected by professional confidentiality obligations and federal law.

What we collect

When you book an appointment we ask for your name, email address and phone number, and anything you choose to write in the notes field. Three other forms are optional: the contact form asks for your name, email address, message and, if you choose, a phone number; the newsletter signup asks only for an email address; and the review form asks for your name, a rating, your comments and, if you want a reply, an email address. That is all the website asks for. We do not ask for your Social Security number, date of birth or financial details through this site, and you should not send them to us by email.

How we use it

We use your contact details to confirm your appointment, to remind you before it, to reach you if something changes, and to reply when you send us a message. If you subscribe to the newsletter, we also use your email address to send it. We do not sell your information, we do not rent it, and we do not use it for advertising.

Newsletter

If you sign up for the newsletter we send one email asking you to confirm. Nothing else is sent unless you follow that link, and if you never do, the address is not used again. Once subscribed, every email carries a one-click unsubscribe link that works immediately and without signing in. We record the date, and the network address the signup came from, purely as evidence of when consent was given. Booking an appointment does not subscribe you, and unsubscribing has no effect on appointment reminders.

Reviews

A review is only published on this site if you tick the box giving permission, and even then we shorten your name — Marta Kovalenko appears as Marta K. Your email address is never published and is never added to any mailing list. Reviews sent without that permission are read privately and go no further. If you change your mind after a review is published, call us and we will take it down.

Text messages

If you tick the box when booking, we will send appointment reminders, and a notice if your appointment is moved or cancelled, to your mobile number. These are about your appointment only; we do not send marketing texts. You will receive up to 4 messages per appointment. Message and data rates may apply. Reply STOP to any message to stop receiving them, or HELP for help. Opting out of texts does not affect your appointment, and you will still get your email reminders.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile information and text message consent will not be shared or sold to third parties or affiliates for marketing or promotional purposes at any time. The providers listed below carry these messages on our behalf and may not use your number for anything else.

Who else sees it

We use a small number of outside services to run this site and send messages. Each one only receives what it needs to do its job, and none of them are permitted to use your information for their own purposes.

  • Cal.com — scheduling, calendar management and booking confirmation emails
  • Google — the calendar that holds appointment times, and our business phone line
  • Supabase — the database holding your appointment record, newsletter subscription and any review you send
  • Vercel — website hosting
  • Resend — sending appointment emails and the newsletter, and delivering contact form messages to our inbox
  • Twilio — sending appointment text messages
  • Cloudflare — protecting the booking and contact forms from automated abuse

We will also disclose information where the law requires it, such as a valid subpoena or court order.

How long we keep it

Appointment records are kept while you are a client and for as long afterwards as tax and professional record-keeping rules require. If you booked an appointment but never became a client, you can ask us to delete the record at any time. Messages sent through the contact form are delivered to our email inbox and are not stored on this website.

How we protect it

Access to client information is restricted to staff who need it, protected by multi-factor authentication, and encrypted in transit and at rest. As a tax practice we maintain a written information security plan as required by the FTC Safeguards Rule and IRS Publication 4557.

Your choices

You can ask us what information we hold about you, ask us to correct it, or ask us to delete anything we are not required to keep. Call or email and we will handle it.

Cookies

This site does not use advertising or tracking cookies. It sets only what is needed to remember your language preference and to keep the booking and contact forms secure.

Children

This website is not directed at children, and we do not knowingly collect information from anyone under 13 through it.

Changes

If this policy changes we will update the date at the top of this page.
